Emocean Counselling (“we”, “us”) respects your privacy. This policy explains what personal information this website collects, how we use and protect it, and the choices you have. It applies to emoceancounselling.ca and the booking and contact features on it.

This website is operated by Orsolya Kis, Canadian Certified Counsellor (CCC), a solo counselling practice based in Vancouver, British Columbia. We handle personal information in accordance with British Columbia’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

The information we collect

  • When you send a message through our contact form: your name, email address, phone number (if you provide it), and the content of your message.
  • When you book online (a consultation or a session): your name, email address, phone number, and your appointment details.
  • Automatically, for security and reliability: standard web-server information such as your IP address, browser type, and the pages you visit. We do not use third-party advertising or analytics tracking on this site.

Please do not include sensitive personal or health details in the contact form or booking notes. For anything confidential, we will arrange a secure channel once we connect.

How we use your information

  • To respond to your message or enquiry.
  • To schedule, confirm, remind you of, and manage appointments.
  • To keep the website secure and working properly.

We use your information only for the purposes above, and we do not sell it or share it for marketing.

Service providers and international storage

We use a small number of trusted service providers to run the website. Some of them store or process data on servers outside Canada (including in the United States), where data may be subject to the laws of that country. We share only what is needed for each service to function:

  • Website hosting — our website and its booking/contact data are hosted on a server located in the United States.
  • Email — Google (Gmail) is used to send booking and message confirmations and to receive your messages.
  • Online booking — appointment scheduling runs on our own website; if we connect a calendar or video service (for example Google Calendar or Google Meet / Zoom) to manage online sessions, those providers process the related booking details.
  • Payments and text reminders — if we later enable online payment or SMS reminders, we use reputable providers (for example Stripe for payments, Twilio for text messages) and will update this policy accordingly.

Cookies

This site uses only the minimal cookies needed for basic functionality (for example, remembering your language choice or keeping the booking form working). We do not use advertising or cross-site tracking cookies.

How long we keep it

We keep the personal information you submit only as long as needed for the purpose it was given (for example, to answer your enquiry or manage your appointments) and to meet our professional and legal obligations, after which it is deleted or anonymised.

How we protect your information

The website is served over an encrypted (HTTPS) connection, and access to the systems that hold your information is restricted and password-protected. No method of transmission over the internet is completely secure, but we take reasonable measures to safeguard your information.

Your rights

Under PIPA and PIPEDA you may ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it, and you may withdraw your consent to our use of it (subject to legal or professional record-keeping requirements). To make a request, contact us using the details below.

This policy vs. session confidentiality

This policy covers information collected through the website. The confidentiality of your counselling sessions and clinical records is a separate matter, protected by professional ethics and law, and is explained to you directly as part of informed consent when you begin working together.

Children

This website is intended for adults. We do not knowingly collect information from children through the site.

Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it was last revised.
